Changes Coming to MyAccount

MyAccount is the online system used by our licensees, vendors and tribal partners to submit licensing applications, pay for those applications, and submit requests to review equipment or software.  It is getting a major remodel as a result of WSGC replacing its legacy internal systems. The replacement solution, built with Microsoft Dynamics, will allow WSGC to better serve its partners and customers. We are calling the project “Polaris,” but will continue to call the external facing system “MyAccount” as it is today.

What’s changing?

The MyAccount site used today will look much different when we replace our internal systems in February 2026. For our partners and customers, this means more payment options, increased security and more efficient communications and clarity with your submissions.

Review the rules changes proposed associated with the IT modernization. Public comment was received at a feedback session on July 24, and can also be provided to Rules.Coordinator@wsgc.wa.gov until the Commission takes final action.

Benefits for licensees:
  • More online: Moving nearly all your applications and submissions online – less paper errors or mail delays.
    • Mail in payment will still be available.
  • More payment options: You will be able to pay with debit, credit and bank transfers. In addition, anyone will be able to pay with a credit card instead of being limited to one user.
    • Make one payment for all licenses instead of separate payments.
  • Expanded user access: Organizations will be able to have multiple users in MyAccount, instead of just one user as it is now. 
  • Less emails: Secure document uploads and secure messaging through MyAccount will provide more efficiency in communications with Gambling Commission. In addition, licensees can initiate a message, instead of waiting for a secure message from the agency. Multiple document formats will be allowed for uploading.
  • Expanded invoice visibility: More invoices and history will be available for review.
  • Know the status: Applications and submissions will be tracked in real-time, so you know where things are at.
  • Account switching: Easily switch between different businesses for your work with Gambling Commission.

Benefits for vendors/manufacturers:
  • Less emails: Secure document uploads and notifications through MyAccount will provide more efficiency in communications with Gambling Commission. In addition, vendors can initiate a message, instead of waiting for a secure message from the agency. Multiple document formats will be allowed for uploading.
  • Know your status: Submissions will be tracked in real- time so you know where things are at.
  • More payment options: You will be able to pay with debit, credit and bank transfers. In addition, anyone will be able to pay with a credit card instead of being limited to one user.
  • Expanded user access: Organizations will be able to have multiple users in MyAccount, instead of just one user as it is now.

Benefits for tribal partners:
  • Payment flexibility: You will be able to submit your application/registration/certification and then be able to pay separately by mail or online. In addition, anyone will be able to pay with a credit card instead of limited to one user.
  • Skip the mail: You will save time and money going online instead of spending money on postage and waiting for snail mail.
  • Expanded user access: Organizations will be able to have multiple users in MyAccount, instead of just one user as it is now.  
  • Less emails: Secure document uploads and secure messaging through MyAccount will provide more efficiency in communications with Gambling Commission. In addition, tribes can initiate a message, instead of waiting for a secure message from the agency. Multiple document formats will be allowed for uploading.

Why are these changes being made?

WSGC is retiring and replacing its 20-year-old internal systems to provide more efficient service. Our internal systems are directly tied into MyAccount, so we are replacing the technology for MyAccount as well. We will be updating some of the ways we do things to be more efficient in how we work with tribal partners, licensees and vendors.

How were WSGC partners and customers consulted?

WSGC sent out a survey in November 2024 asking external users of MyAccount what they like and don’t like. Here’s what we heard:

  • Making payments in the current system is easy, convenient and simple
  • Ease with submitting quarterly license reports (non-tribal licensees) and reviewing before making payment
  • Ability to schedule QLR payments for a future date
  • Class III gaming employee applications are fast and user friendly
  • Submitting license applications (non-tribal) is easy and convenient, with help features, and the ability to review applications that are complete
  • Submitting sports wagering menu requests is simple
  • Accessing licenses online to print

IMPROVEMENT IDEAS

We have incorporated as many improvements as we can within our limited budget, and we plan to build on what we initially release.

Applies to everyone

✓ Submit application online and then pay by mail

✓ Ability to upload multiple documents at a time – planned as a post go live enhancement

✓ Ability to print an invoice then pay by check

✓ Ability to apply for new gambling licenses online – instead of being limited to just a few, as it is now

✓ Credit card payment option

✓ Access digital version of license applications after submitting – this will be available in your MyAccount

✓ Ability to see where the application is in the process

✓ Renew employee and update their address in the same place

 

Applies to licensees only

✓ Make one payment for several applications instead of several payments – if you work with more than one organization, you will switch accounts to make payments for multiple organizations

✓ Ability to start from prior year’s license application and make needed changes – basic information will be prepopulated

✓ Reminders when organizations and individual licenses are due to expire Ability to audit licensing records of current licensed employees – will be able to see currently licensed employees.

 

Applies to tribal partners only

✓ Improved menu and efficiency for sports wagering menu requests 

  • Include more than one year of hours/billing summary
  • Ability to audit licensing records of current employees – will be able to see currently certified or eligible employees.
  • View more than two years history of (tribal) case reports – Due to the storage required, we aren’t able to accommodate more than two years of history. We recommend tribal partners download case reports to their own records offline.

How will Gambling Commission help us adjust to the new system?

In addition to demonstrations and testing opportunities, Gambling Commission will be providing live and recorded training to help external users learn how to use the new system. Our customer service line will also be available for support and questions after we go live. We are committed to helping our partners and customers succeed with this new system and do their work with WSGC more efficiently. Thank you in advance for your patience as we learn a new system.
